Privacy Policy
Last updated: August 18, 2026
Suite Release is committed to protecting your personal information. This Policy explains what we collect, why we collect it, how we use and share it, and your rights under Canadian privacy laws including PIPEDA and applicable provincial statutes (Quebec Law 25, BC PIPA, Alberta PIPA).
The organization responsible for your personal information (the data controller) is Dance Create Connect Inc., operating as Suite Release and marketed as SuiteRElease. Our Privacy Officer can be reached at support@suiterelease.ca.
1. Personal information we collect
- Account information — name, email, password, optional phone number, city and province.
- Listing information — property address, rent, descriptions, photos, application forms and other content you post.
- Resident Evaluation — self-reported employment, income range, references, pets, background-screening willingness, about you, and an optional employment verification document you choose to upload. We do not collect or store government photo identification, and we do not collect criminal-record information.
- Marketplace activity — favourites, messages, expressions of interest, saved searches, lifestyle preferences.
- Payments — for paid upgrades, our payment processor collects billing details directly. We receive only transaction metadata (amount, status, last-4 of card).
- Device and log data — IP address, browser type, referring URL, timestamps, and cookies as described in our Cookies notice. We use Google Analytics 4 to understand aggregate site usage; Google processes this data under its own terms and you can opt out through your browser settings or Google's opt-out add-on.
2. Why we collect it
- To operate the marketplace and enable lease-takeover matching.
- To let you communicate with other users about specific listings.
- To keep the platform secure and prevent fraud and abuse.
- To send transactional emails (account, messages, request status).
- To send marketing communications only where you have opted in.
- To comply with legal obligations.
3. Sharing and consent
Sensitive information is only shared with other users when you expressly consent, on a per-listing basis:
- Your Resident Evaluation and uploaded documents are shared with a specific lease holder only when you check the “Share my Resident Evaluation” option for that listing.
- Your information is forwarded to a landlord only when the lease holder uses the “Forward to landlord” action and you have consented to that forwarding. Forwarding creates a private, single-purpose web link that shows a read-only summary: your name, the note you wrote, the Resident Evaluation fields you chose to share and any supporting documents you chose to share. The link does not require a login, expires automatically, and can only be used to record an approve, decline, or more-information decision. Treat it like a document sent by email — anyone the landlord forwards it to can open it until it expires. Ask the lease holder to have the link revoked if you change your mind.
- Exact property addresses are only revealed after the lease holder approves sharing with a specific renter. Public listings show neighbourhood and city only.
You may withdraw a specific share at any time from your account. We will stop sharing going forward; content already viewed cannot be recalled.
4. Service providers
We use trusted service providers to run the platform, including hosting, database, authentication, email delivery, and payments. These providers process your data only on our instructions and under contractual confidentiality and security obligations. Some providers may store data in the United States; where that occurs, personal information may be subject to lawful access by foreign authorities.
5. Retention
- Account data: retained until you delete your account.
- Messages: retained for up to 24 months after the last activity.
- Closed or withdrawn interest requests: retained for up to 12 months.
- Uploaded supporting documents (Employment Verification): you may store only one at a time. Uploading a replacement permanently deletes the previous file, and any document is automatically and permanently deleted 90 days after upload if it has not been replaced — or sooner if it is no longer needed.
- Identity verification: optional. Verification is performed by Stripe, Inc. under Stripe’s own terms and privacy policy, including any biometric consent Stripe presents during its process. We receive and retain only a verification status, whether the verified name matched your profile name, the provider name, a reference identifier (including session and attempt references used for fraud prevention and rate limiting), the verification date and any expiry. We never receive or store your identification document or selfie.
- Landlord review links: expire automatically and the summary is no longer viewable after expiry.
- Deleted accounts: personal data and all uploaded documents are hard-deleted within 30 days, subject to legal retention obligations such as fraud prevention, payment disputes, or an active dispute.
6. Your rights
You may:
- Access and correct your personal information through your account settings.
- Request a copy of your personal data.
- Withdraw consent to specific processing (may limit features).
- Request deletion of your account and associated data.
- File a complaint with the Office of the Privacy Commissioner of Canada or your provincial regulator.
7. Security
We use industry-standard technical and organizational safeguards, including encryption in transit, access controls, and row-level security on our database. No system is perfectly secure; we will notify affected users and regulators of a material breach as required by law.
8. Children
Suite Release is not directed at individuals under the age of majority in their province. We do not knowingly collect personal information from minors.
9. Privacy Officer
Direct privacy inquiries, access requests and complaints to our Privacy Officer at support@suiterelease.ca.
